Privacy & Cookie Policy

1. Who is responsible
This policy applies to the Qlause websites (qlause.app and qlause.co.za) and the Qlause app. The responsible party for your personal information under the Protection of Personal Information Act (POPIA) is Qlause (South Africa). For any privacy question or request, contact our information officer at hello@qlause.app.
2. What we collect, and why
We only collect what we need for the thing you are actually doing:
- Using the audit app: your account email address, plus the audits, findings and evidence files you create or upload. We use these to run your account and produce your reports.
- Requesting a consultation: your name, company, email, phone, the service you are interested in, and your message. We use these to respond to you and discuss the work.
- Applying to our network: your name, email, phone, location, role and the CV you upload. We use these to assess your application and contact you about opportunities.
- Downloading a free resource or subscribing: your email address and which resource you asked for. We use these to send you the download and the occasional practical update — you can unsubscribe at any time.
- Automatically (only if you accept cookies): basic device and usage information through analytics — see section 4.
3. Our lawful basis (POPIA)
We process your information where it is necessary to provide a service or account you asked for or to take steps toward a contract (enquiries, the app); where we have your consent (marketing emails and analytics/marketing cookies); and where we have a legitimate interest in keeping the site secure and improving it. You can withdraw consent at any time.
4. Cookies and tracking
The analytics and marketing tools below only load after you click “Accept” on our cookie banner. If you decline, they are not loaded and they set no cookies. Your choice is remembered in your browser's local storage (this is a preference, not a tracking cookie), and you can change it by clearing your site data and revisiting.
- Google Analytics 4 — measures site traffic and which content is useful.
- Meta (Facebook) Pixel — measures the performance of any advertising.
- Vercel Analytics — privacy-friendly, cookieless traffic counts.
5. Who we share it with
We do not sell your personal information. We share it only with the service providers that help us run Qlause, each acting on our instructions:
- Supabase — database, sign-in and file storage (hosted in the European Union).
- Resend — sending our emails (notifications and your downloads).
- Vercel — website hosting and basic analytics.
- Google — Google Analytics, if you consent.
- Meta — the Meta Pixel, if you consent.
- Payhip — payment and delivery of paid products.
Some of these providers (for example Google and Meta) may process data outside South Africa, including in the United States. Where that happens we rely on the safeguards those providers put in place.
6. How long we keep it
The retention periods below are our current practice and may be adjusted:
- Audit app data: as set out in the Terms — free-plan audits and evidence are deleted 90 days after locking, and inactive drafts after 90 days.
- Consultation enquiries: kept while we are in contact and for up to 24 months afterwards, unless you ask us to delete them sooner.
- Network applications and CVs: kept for up to 12 months, then deleted, unless we agree otherwise with you.
- Newsletter / subscriber email: kept until you unsubscribe.
7. Your rights
Under POPIA you can ask us to give you access to the personal information we hold about you, correct or delete it, object to how we use it, or withdraw your consent (including unsubscribing from emails). Email hello@qlause.app and we will action it. You also have the right to complain to the Information Regulator of South Africa.
8. Security
Account data in the app is protected by row-level security so it is visible only to your account, and data is hosted in the European Union. No online service can be perfectly secure, but we take reasonable measures to protect your information.
9. Children
Qlause is intended for businesses and quality professionals. It is not directed at children under 18, and we do not knowingly collect their personal information.
10. Changes
We may update this policy; the current version and date appear at the top of this page. If we make a material change, we will flag it with reasonable notice.
