SharePoint vs Notion vs a dedicated QMS: where should your documents live?

Almost every manufacturer already keeps documents somewhere. The question is whether that somewhere can actually prove control when an auditor asks. Here is an honest look at the three common options.

Option 1: File storage (SharePoint, Google Drive, network shares)

This is where most small manufacturers start, and it is fine for storing and sharing files. The problem is control. Out of the box, anyone can download a procedure, edit it locally and re-upload it as a new file — so different people end up following different versions. There is no built-in approval workflow, no obsolete-document state, and no link between a document and the training tied to it. LNS Research found only 13% of companies using non-purpose-built tools rate their quality processes excellent. You can configure SharePoint to do more, but properly configured often means thousands in consulting.

Option 2: Wiki and work tools (Notion, Confluence, ClickUp)

These are excellent for writing, finding and adopting procedures, and they support draft, review and approved statuses. But they were never designed to be the controlled record. Locked approvals, an immutable revision history, controlled distribution and an audit-grade trail are not their job, and governance gets harder as you scale. They solve write-and-find — not prove-control.

Option 3: A dedicated electronic QMS

Purpose-built QMS platforms enforce everything automatically: controlled documents, electronic signatures, change control, training links and audit trails. They are the right answer for regulated medical-device, pharma and automotive suppliers — and priced accordingly, typically starting around $1,200–$1,600 a month. For a 30-person workshop chasing its first or second ISO 9001 certificate, that is usually overkill and out of budget.

The gap in the middle

That leaves a real gap: the small or mid-sized manufacturer who needs control they can prove, but cannot justify enterprise software — and is improvising on a tool that was never built to prove it.

The honest answer for most manufacturers: keep your documents where your team already works, and put a disciplined control layer on top — numbering, versioning, approvals, an obsolete state, and a master register.
